Setup Guide: Email

To send and receive emails from an @animalthinktank.org.uk email address, you will need to set up an email alias.

This is a kind of ‘mask’ that goes over an existing email address. It uses the same server settings and password as your base email and doesn’t require you to configure a new inbox; it uses the same inbox and settings as your current address. It’s essentially a forwarding address. Mail that is sent to the alias will be redirected to your main inbox, and mail you send out will be redirected (if you choose*) via the alias so that to the recipient it appears you have sent it from a different inbox.

Setting up an alias is a different process for different mail providers, and not all mail providers allow aliases (Co-op mail, for instance, does not). You might find that it’s simpler if you create a new email address specifically to be used for ATT mail (with an alias), in which case it’s probably best to go for a Gmail. You will need to notify the Onboarding team about which email address you want to use as your base so they can set up an ATT forwarding address for you (that’s your incoming mail). Then you will need to configure the alias from your end (outgoing mail).

Make sure you’ve ticked ‘Treat as an alias’, and if it asks you to fill out server settings, use the values specified here: host server smtp.gmail.com, port 587, username should be your Gmail username (if your Gmail address is mrbroccoli@gmail.com, then you should insert the whole address as the username: mrbroccoli@gmail.com ), and password should be the same Gmail password you use to access your Gmail account.

When it asks for your alias, use: firstname.lastname@animalthinktank.org.uk. The alias will appear to recipients exactly as you type it here, so be sure to keep everything in lower-case.

* If you want people to receive an email from your @animalthinktank.org.uk account, there's an extra step involved. When the alias is created you will automatically receive emails from someone sending it to your @animalthinktank.org.uk email, but when you send an email it will be sent from your original email.

Follow these steps to change that (these instructions are given by Gmail):

Step 1: Generate your app password

  1. On your computer, go to your Google Account.

  2. At the left, click Security.

  3. Under 'Signing in to Google', click App passwords and sign in, if required.

    • If you don't find 'App passwords', click 2-Step Verification and follow the steps to turn on 2-step verification for your account. You may have to sign in again.

  4. Enter the name of your domain and click Generate.

  5. From the app password box, copy the 16-character password that is generated. You'll need this address when you add your new send-as (forwarded) account (in Step 2 below).

Step 2: Add an email alias

  1. On your computer, go to Gmail.

  2. Select the Accounts and import or Accounts tab.

  3. In the 'Send mail as' section, click Add another email address.

  4. In the window that opens, enter the name that you want recipients to view.

  5. Enter the email address alias that you've set up for email forwarding.

  6. Confirm that 'Treat as an alias' is marked, and click Next step.

  7. In the 'SMTP Server' field, enter: smtp.gmail.com.

  8. From the 'Port' menu, choose 587.

  9. In the 'Username' field, enter the username that you're signed in with.

  10. In the 'Password' field, enter the 16-character generated app password that you copied in Step 1.

  11. Confirm that the Secured connection using TLS box is ticked.

  12. Click Add account.
